Privacy policy
Updated ·
This page explains, briefly and without small print, what data we receive when you use digiq-rf.com and order equipment from us, why we need it and what you can do about it.
01Who we are
The controller of your personal data is DigiQ RF. The seller's legal details (full name, registration code and address) are stated in the invoice you receive once your order is confirmed.
For any question about your personal data, write to info@digiq-rf.com.
02What we collect
When you place an order on the site:
- last name, first name and patronymic (the patronymic is optional)
- email, where we send the invoice and order updates
- payer type; for a legal entity, the organisation's name and its EDRPOU code if you give it
- your preferred messenger and your username or phone number there; a phone number if you choose WhatsApp or add one next to your email
- the city and the Nova Poshta branch or parcel locker
- the parcel recipient's name and phone number
- the items, quantities and order total
- your comment about the platform and intended use, if you leave one
- a record that you accepted the terms of sale, and when
With the order, the server automatically stores technical browser data and an anonymised network identifier, used only to protect against spam.
When you order through a messenger or by phone, our team enters the same data. While we handle the order, we add: the buyer's address (for the delivery note), an EDRPOU or individual tax number (RNOKPP) if the documents need it, agreed prices, invoices and delivery notes, the waybill number and delivery status, internal notes and a log of our contacts with you.
If we set up a Signal, WhatsApp or Telegram group with you for the order, we store its invite link. Only our team sees it, in the order system: it is never published or included in emails, documents or notifications.
We don't ask for passport details or payment card data: payment is by bank transfer against an invoice.
The order status page opens through a personal link in your confirmation email. Please don't forward that link to others.
03Why we use it
- to process your order: check availability, carry out the export-control review and agree the terms
- to issue the invoice and the delivery note
- to ship the parcel with Nova Poshta and send you the waybill number
- to contact you about the order in the messenger you chose or by email
- to meet our accounting and tax obligations
- to protect the site and the order form from spam and abuse
- to improve the site using anonymous visit statistics (see "Site analytics")
The legal grounds are entering into and performing the sales contract with you, obligations the law places on us, and our legitimate interest in keeping the site secure and working (Article 11 of the Law of Ukraine "On Personal Data Protection"; for visitors from the EU, Article 6(1)(b), (c) and (f) GDPR). We don't sell data and don't use it for advertising.
04Who processes it for us
We share data only with services we need to fulfil orders and run the site, and only as much as they need:
- a cloud hosting provider: data is stored in the EU
- a corporate email provider: the emails we exchange with you
- Nova Poshta, for shipping: the recipient's name and phone number, the branch or parcel locker
- an internal notification service that tells our team about new orders, without your contact details
- a bot-protection service on the order form: it receives your IP address and technical browser data
- a web analytics service with data stored in the EU: see "Site analytics"
If you talk to us on Signal, Telegram or WhatsApp, those services handle the conversation under their own terms. Your bank processes your payment details as a separate controller. We disclose data to public authorities only when the law requires it.
Some of these services may process data outside Ukraine, in the EU and other countries.
05Site analytics
The site's pages use a web analytics service with data stored in the EU. We see which pages are opened, which links and buttons are clicked, aggregate click and scroll heatmaps, page load speed, and a few order events: clicks on "Order", the form steps reached, the name of a field with an error, and that an order was sent, with its item count and total.
- no cookies: a random anonymous ID is kept in the browser's sessionStorage and disappears as soon as you close the tab. Repeat visits are not linked together
- we never identify anyone: analytics is not linked to your name, email or order
- form field contents are never sent. Emails, phone numbers, order numbers and the personal status link are removed in the browser before anything is sent; no heatmaps are collected on the order pages
- no session recording (video of what you do on a page)
- your IP address is not stored in analytics
Analytics events are kept for up to 1 year. A tracker blocker is enough to stop analytics in your browser; you can also object to analytics by writing to info@digiq-rf.com.
Apart from that, the site only remembers in localStorage that you closed the hint pointing to the English version, with no identifier.
06How long we keep it
- orders, invoices, delivery notes and related correspondence: as long as accounting and tax law requires, at least 3 years (1095 days)
- backups and technical logs: kept for a limited time and deleted automatically
- analytics: up to 1 year (see "Site analytics")
Once data is no longer needed for these purposes, we delete or anonymise it.
07Your rights
Under the Law of Ukraine "On Personal Data Protection", and under the GDPR for visitors from the EU, you have the right to:
- know what data we hold about you and get a copy
- have inaccurate or outdated data corrected
- have your data deleted, as far as the law allows: we must keep accounting records for the required period
- object to processing based on our legitimate interest, including analytics, or have it restricted
- complain to the Ukrainian Parliament Commissioner for Human Rights or, in the EU, to your country's data protection authority
To exercise a right, write to info@digiq-rf.com from the address given in your order, or include the order number. We may ask you to confirm that the data is yours. We reply within 30 calendar days.
08Security
The site and the order system work over HTTPS only. We protect data with technical and organisational measures, and only members of our team can access orders.
09Changes to this policy
We update this page when the way we process data changes. The date of the latest version is shown at the top.
